Event technology: Evaluation of business models


On a project for the municipal enterprise Tourismus & Events of the city of Ludwigsburg, actori carried out a business model evaluation of the event technology and prepared the subsequent award procedure. Tourismus & Events Ludwigsburg is for example responsible for marketing the municipal event venues, such as the Forum am Schlosspark and the MHP Arena. The focus of our joint project was the question of how and under what conditions it makes sense to outsource event technology services.

To this end, we first calculated the necessary personnel resources for the regular operation of the venue: Which tasks are there and how much effort do they cause? What personnel capacities does Tourism & Events need to fulfil these tasks?

n this basis, different award scenarios were developed with the contracting authorities; these award scenarios finally provide the framework of an award range for a tender for event technology services.

In parallel, actori investigated various parameters of an external award of technical services (e.g. situation on the labor market, needs of external users of the venues, performance of potential service providers) and on this basis formulated recommendations and requirements for an external award of technical services.

n the final step, the results were translated into concrete procurement documents. Based on the experience from comparable actori award projects and the specific requirements in Ludwigsburg, the development of a customized evaluation matrix was the focus of the joint work.
